New website with internal member portal
Inner Wheel Denmark had a desire to have a new, modern website, which is aimed both at potential members and other visitors as well as at members in the organization's clubs.
Inner Wheel Denmark consists of 91 member clubs in 5 districts. Each member club has an internal and an external club page. The external club page is a presentation page where the visitor can read more about the local club and find contact information.
The internal club page is for members of Inner Wheel Denmark, where they can see current information from the club, e.g. news and event calendar. In other words, each club has got its own little club portal, where only Inner Wheel members can see the content.
Custom developed WordPress solution
Since the website has to be maintained by a large number of users in the various clubs in the country, it requires that the page be user-friendly and simple to work with. It was therefore natural to choose WordPress as the basis for the site, as several members also had their own experience with this. WordPress has unimaginable expansion possibilities, and based on this we have developed a complete solution that handles all of Inner Wheel Denmark's clubs and districts as well as their information. Our IT pilots have therefore developed different standard templates for different types of pages, which make future handling and creation of clubs and members easy for Inner Wheel Denmark.
Using these standard templates, we also ensure that all club pages are based on the same structure and offer the same type of data. This makes it easy for a club to insert address and contact details as well as information about the club. In addition, each club has the option to share their own news and blog posts. Finally, we have also implemented a hierarchical document system, so that members can, for example, easily find the latest monthly newsletter and download it.
Advanced user settings
Due to Inner Wheel Denmark's structure, great demands were placed on the handling of different user levels. The user levels help to ensure that only the right, selected people have access to various, selected functions.
For example, a club master must have access to create meetings in the calendar for his own club, just as the club registrar has access to manage users and user roles. Members of Inner Wheel Denmark have access to see their own club page and can see members in various committees, but they do not have access to create meetings in the calendar or manage user roles.
In Inner Wheel Denmark, there is a rotation principle in connection with the change of year/season after the summer holidays. This means that there will be a new club president, new secretaries, etc. To deal with this, our IT pilots have developed functionality so that these trust positions are automatically changed on this date.
Specially developed member list
Member management is one of the most central functions of the new website. That is why we have specially developed a module (the member list) that is based on WordPress' own user functionality and which automatically synchronizes data between WordPress and the module.
The member list provides a presentation of the members and makes it possible to search and filter members. In addition, the member list has been developed so that it supports a wide range of additional data that WordPress itself does not offer by default. This can be data such as (former/future) trust positions, admission and withdrawal date, club etc.
The member list also enables the administrators to make different extracts of member data based on different search criteria.
Membership calendar for each club
Club meetings and other events are held regularly in each club. In order to give the members an overview of the upcoming events, all 91 clubs have implemented a calendar, which partly shows the upcoming events, but which also makes it possible to create a registration form for some of the events.
In connection with the events, it has also been important for Inner Wheel Denmark that they can generate and print a registration list for each event.
In addition, the calendar solution also supports data that is relevant for club meetings. This is set up as fixed data fields that simply need to be filled in during the creation of the member. This creates a common thread for which information must be filled in for each event - as well as how it is presented in the club page's calendar.
Secure hosting and storage of member data
Having an online member portal, like Inner Wheel Denmark, demands IT security and the protection of all members' personal data. Therefore, the IT security for Inner Wheel Denmark's entire solution is also top notch.
The solution is hosted and managed on a virtual server with cPanel. Here we ensure that all member data is stored safely and securely. At itpilot, we have a ISAE 3402 declaration, which means that we comply with all legal requirements within IT security – and that we generally comply with good IT practice. Our customers' IT security has the highest priority for us.
